Conference Policies

Cancellation Policy

By registering for VMUN 2024, you agree to the following Cancellation Policy.

By submitting a registration for VMUN, you are confirming your attendance. We immediately begin to make preparations in order to make your experience as smooth as possible. Such preparations include reserving potential hotel accommodation and ordering your conference materials like placards and delegate folders. For this reason, as the conference date approaches, the according refund will shrink, should you choose to withdraw or cancel your registration. Vancouver Model United Nations will be processing delegate withdrawals and cancellations based on the date when the request is made. Refunds will be made as follows unless otherwise authorized in writing:

After November 7, 2023 No refund

Cancellations made after November 7, 2023, due to medical issues, force majeure, or other circumstances beyond reasonable control will be reviewed on a case-by-case basis. We are able to offer a maximum 50% refund for delegates who provide adequate verification of such circumstances. Any cancellations must be made directly to the Delegate Affairs team at delegates@vmun.com.


Position Change Policy

VMUN is committed to ensuring that delegates have the best experience possible. In order to change their country, committee, and position, delegates must email delegates@vmun.com with their current position and committee, and which committee, country, and position they wish to change to. Delegates may only submit one position change request, the outcome of which cannot be reconsidered. In their request, delegates must provide sufficient reasoning as to why they want to change their positions.

In the early stages of registration, position change requests will be more leniently considered. However, as the conference draws nearer, position change requests will become harder to accommodate. Please be aware that it may not be possible to accommodate each and every request.

VMUN will not consider any position change requests submitted after November 7, 2023.

Technology Use Policy

During committee sessions, delegates are permitted to use electronic devices and access the internet only for educational purposes (e.g. to aid in the writing of working papers and draft resolutions, accessing previous research and notes, etc.). Electronic devices and internet access for non-academic purposes (e.g. texting, playing games, etc.) are not permitted at any time. Earbuds and other headphones are also not permitted unless previously authorized by the dais team or the Secretariat. In accordance with the VMUN Delegate Code of Conduct, staff members may ask delegates who contravene this policy to stop their disruptive and unproductive behaviour and may revoke their technology privileges.
