Conference Policies

Cancellation Policy

By registering for VMUN 2026, you agree to the following Cancellation Policy.

By submitting a registration for VMUN, you are confirming your attendance. We immediately begin to make preparations in order to make your experience as smooth as possible. Such preparations include reserving potential hotel accommodation and ordering your conference materials like placards and delegate folders. For this reason, as the conference date approaches, the according refund will shrink, should you choose to withdraw or cancel your registration. Vancouver Model United Nations will be processing delegate withdrawals and cancellations based on the date when the request is made. Refunds will be made as follows unless otherwise authorized in writing:

Cancellations made after November 3, 2025, due to medical issues, force majeure, or other circumstances beyond reasonable control will be reviewed on a case-by-case basis. Any cancellations must be made directly to the Delegate Affairs team at delegates@vmun.com.


Position Change Policy

VMUN is committed to ensuring that delegates have the best experience possible. In order to change their country, committee, and position, delegates must complete the Position Switch Request Form with their current position and committee, and which committee and position they wish to change to. In their request, delegates must provide sufficient reasoning as to why they want to change their positions.

In the early stages of registration, position switch requests will be more leniently considered. However, as the conference draws nearer, position switch requests will become harder to accommodate. Please be aware that it may not be possible to accommodate each and every request.

VMUN will not consider any position switch requests submitted after November 3, 2025.

Awards Policy

VMUN presents four types of awards to individual delegates: Best Delegate, Outstanding Delegate, Honourable Mention, and Best Researched. The individual Dais Teams of each committee determine which delegates are recognized, and the number of awards available may vary depending on committee size.

Award recipients must demonstrate keen interest and passion on the topics of discussion as well as strength in the quality of their arguments throughout the debate. Delegates further distinguish themselves by demonstrating leadership and diplomacy through their combined efforts with others. Please note that position papers are required for delegates seeking an award, and any violation of the VMUN Code of Conduct may result in disqualification from award eligibility.


Technology Use Policy

During committee sessions, the following etiquette is expected to be followed by all delegates at VMUN:

  • Electronic devices and internet access for non-academic purposes (e.g. texting, playing games, etc.) are not permitted at any time.
  • Earbuds and other headphones are not permitted unless authorized by the Dais Team.
  • Laptops, smartphones, and tablets are only permitted for conference purposes, as determined by the Dais Team. Internet access is only permitted to aid in the writing of working papers and draft resolutions, not for additional research within a committee session. All materials and research should be prepared beforehand and saved offline for access.
  • Use of electronic devices and access to the internet are prohibited in all crisis committees.

Staff members reserve the right to ask delegates who contravene this policy to stop their disruptive behaviour. Further consequences may include revocation of technology privileges, notification to sponsor teachers, or disqualification from awards.


Plagiarism Policy

VMUN has a zero-tolerance policy for plagiarism, which includes, but is not limited to, using someone else’s work, ideas, or words without proper acknowledgement. If you are found to have plagiarized any portion of your position papers, resolution papers, speeches, or any other work, you will be disqualified from award eligibility and your school may be notified. If you are unsure as to whether something is plagiarism, please consult your Director. As a best practice, always cite any information that is not your own original content.

Additionally, the use of generative artificial intelligence engines such as ChatGPT and QuillBot to produce any submitted or presented work, including position papers, draft resolutions, or speeches, is strictly prohibited at VMUN. The VMUN Secretariat reserves the right to use artificial intelligence detection tools to verify that all final work is original. Delegates who are found to have used generative artificial intelligence engines in any work will be disqualified from award eligibility and their school may be notified. Delegates with any concerns should consult their sponsor teachers or Dais Teams before submitting their work.
